Buildify centralises new and pre-construction home data for builders, brokers, and realtors — replacing manual processes, disconnected tools, and inconsistent listing management with a unified system.

Product Designer — worked directly with the founder
The Problem
Pre-construction real estate data was fragmented, inconsistent, and heavily dependent on manual coordination. Builders, brokers, and agents relied on disconnected tools, spreadsheets, and personal workflows to manage listings.
As the number of projects and partners grew, internal teams struggled to maintain accuracy, visibility, and operational efficiency.
The real challenge wasn’t adding features — it was designing a system capable of handling scale, role complexity, and constant change without breaking usability.
Key Challenges
Structuring thousands of listings with frequent updates while preserving data integrity
Designing for multiple user roles with conflicting goals but shared data dependencies
Reducing manual effort without oversimplifying complex workflows
Structuring a Multi-Role Platform
🤝 Builders & Realtors Portal
Builders needed structured control over project data and visibility, while realtors required fast discovery, filtering, and sharing tools to serve buyers efficiently — all powered by the same real-time data source.
🧩 Admin Portal (Backend)
Required a robust backend to manage partners, projects, agents, and sales data at scale while maintaining accuracy, consistency, and operational efficiency.
Each user group had different goals, but all depended on the same underlying data — making clarity, structure, and consistency critical.
Designing Through Iteration
Rather than following a linear process, the product matured through rapid validation, feedback, and structured refinement as real operational needs surfaced.

Admin Portal — Managing Data at Scale
As listing volume and partner complexity grew, internal teams needed a structured system to manage projects, permissions, and updates without compromising data integrity.
The portal became a centralized control layer enabling bulk actions, role-based visibility, and scalable data management.

Early Validation & Workflow Design
Wireframes were used to validate structure, role-based workflows, and filtering logic before scaling the system. Early collaboration ensured decisions were grounded in real operational constraints.

Core Capabilities
Additional interfaces designed to manage leads, projects, and data-intensive workflows efficiently while maintaining clarity and consistency.
Project Creation: A multi-step workflow designed to handle complex project data, pricing structures, floor plans, and media uploads while maintaining consistency and validation at scale.
Lead Management: A centralized interface for tracking, assigning, and monitoring leads and orders, giving teams visibility into performance, response time, and sales activity.

Advanced filtering: Multi-criteria and grouped filters to quickly narrow large datasets by status, location, visibility, and custom conditions.
Partner management: Centralized tools for managing different partner types within a single, consistent system.
AI floor-plan extraction: Automated extraction of floor-plan data from URLs or uploaded files to reduce manual input and errors.
Automation rules: Configurable logic for pricing, lead assignment, and operational triggers to streamline recurring tasks.

Marketing Website & Product Communication
As the platform expanded, clearer positioning was needed for builders, brokers, and API partners. The website translated complex system capabilities into structured messaging around data reliability, integrations, and operational efficiency.
Content was organized around core use cases, API access, pricing, and onboarding — enabling potential partners to understand the product quickly and take action with confidence.

Broker Portal — Fast, Data-Driven Discovery
Brokers needed fast, reliable access to pre-construction projects to compare options and respond to clients without relying on fragmented sources.
The portal focused on searchable listings, structured filters, and detailed project views with clear pricing and availability — supporting confident, data-driven decisions.

Design System & Components
Rather than starting with a rigid, pre-defined design system, a reusable component system was developed progressively as the product evolved, ensuring consistency, scalability, and faster iteration across the platform.

Impact & Outcomes
The product evolved from an MVP into a scalable platform supporting multiple user roles and high-volume, frequently changing data.
Centralised management of thousands of listings, partners, and leads in one system
Reduced manual effort through structured workflows, automation, and AI-assisted extraction
Improved data consistency across both admin and broker experiences
Created a flexible foundation that continues to support new features, partners, and integrations
Learnings
Designing Buildify reinforced the importance of structuring complexity rather than simplifying it. Multi-role systems require clear data ownership, scalable workflows, and continuous iteration to remain usable as volume grows.
Close collaboration with the founder and engineering team strengthened my ability to balance business goals, operational constraints, and long-term system thinking.
